How to Deal With Email Overload I think youll agree with me: We get too many emails! One problem with email overload is that it steals your attention from actual work. Fighting A Losing Battle Maybe you have 3,000 UNREAD emails in your inbox and you find it challenging to read through every email. You get frustrated, then just delete them all. Or if youâre like me, you donât delete anything unread because youâre afraid of missing out on something important. As a result, you spend more time reading emails than doing more important priorities in your work and life. Say you spend 3 hours painfully reading through every email. Sure, you may get your inbox to zero, but what happens next week? Before you know it, your inbox will most likely overflow again without staying consistent with some processes and email systems. If It Happens More Than Once, Create A System Your email problem wonât go away just because you donât like it. Iâm sure itâs not the first time that your email situation has given you a headache. Any problem that happens more than once is a system problem. You need a better system or structured way to deal with your inbox. So hereâs a better way to deal with your inbox: The fine print: I didnât promise you that the method I use is fancy. But it works. How to Deal With Email Overload Step #1. Regroup Your Emails Your emails probably fall into the following groups. Hereâs how to deal with each type of email overload: 1) Subscriptions Letâs be honest, you signed up for those newsletters probably because theyâre free. You donât really read them. If so, do yourself a favor and unsubscribe to the ones you havenât read for 2 months. 2) Spam I hate spammersâ¦I use Gmail and Gmail does have solid anti-spam services. When I get hundreds of emails a day, most of those emails never make it to the inbox. They go straight to the spam folder. 3) Notifications I often get notifications from Facebook, Twitter, PayPal, etc. Soon they are filling up my inbox, I create a filter in Gmail that will automatically put these into a folder and mark them as read, or trash them. You can always go check on them in your ânotificationsâ folder if you like, but they wonât clutter your inbox. 4) Stupid jokes Your friends may send jokes to your email (Thank God, I donât have any friends like that). If thatâs a problem, email them and let them know that while you appreciate them thinking of you, youâd rather not receive those emails. Donât want to hurt their feelings? Theyâll grow up. Bottom line: Only the essentials make it to your Inbox. Step #2. Create Templates to Answer Common Questions Chances are, youâve typed the same answers over and over again⦠Like I mentioned earlier, if something happens more than once, itâs more efficient to have a system to deal with it. Much like how customer services have scripted answers to most common customer issues. Why canât you copy that idea and apply to your email responses? Simply create a template, keep it handy somewhere (e.g. in your email draft file. Evernote, etc.) then copy and paste each time you need it. If you use Gmail, Gmailâs canned responses can help you with the whole process. You may need to modify some templates to add a little personal touch, but it still saves time if you are just changing one sentence to a 300-word email template vs. writing a 300-word email over and over again. Step #3. Deal With Batch Emails You canât get away with all the emails with Step 1 and 2. Certain emails require quick action (like 20 seconds each). For those, I created filters that send them into a âdeal with them all togetherâ folder and process them once or twice a day. It only takes a few minutes to finish the whole folder, but they donât clutter my inbox. P.S. Entrepreneurial Advice from One Fierce Mom to Another My mother has always told me âyou can have it all, just not at the same time.â I live by these words. Raising four kids, moving multiple times and working a day JOB all the while starting Kick Like A Girl, Inc, this phrase is a daily reminder to me to be patient and to focus on the âhere and nowâ whether it be family or business it will work out if you stay focused and organized. I made the mistake of involving design companies in the beginning that did not âget itâ- their intentions were good (I think, probably was more about the money I paid them, but I chose to remain optimistic as to their intent) but the group of individuals (all men) could not empathize with my company vision of female empowerment. I canât blame them but have learned I need to work with like-minded individuals that have walked in my shoes or at least have a passion for the sport of soccer. Trust Yourself I know it sounds silly but trust your gut. We females have such powerful gut instincts, it is inherent with bearing children so make sure you always listen to your gut it will not lead you wrong. This process is a marathon, not a sprint- enjoy the journey! Wake up every morning ready to take on the day but do not get discouraged when you get pulled in 10 different directions and cannot put the time or effort into your business that you intended. You may have to get an extra ice coffee after running your kid to soccer practice, so you can work after everybody is in bed. As a mother, my priority has and will always be to take care of matters at home and then focus on my business. Stay Positive Stay positive, glass half full positive- even when your credit cards are maxed, and you are feeling almost sick to your stomach, stay positive and focus on the good in your life, your health etc. After all, you are still above ground! Make sure you have good credit when starting a business. This will allow you to have a few credit cards to work with. Also, be sure to pay at bit over the minimum every month on your balance to ensure your credit stays good. If you have to play the transfer balance game for a few years, itâs worth it since the amount of interest you save more than offsets the balance transfer fee. Surround Yourself With Strong People Surround yourself with strong people, donât associate with âenergy suckingâ individuals. It is not worth your time- most individuals in the beginning will not be as passionate about your company as you, this is normal, donât let it bring you down- surround yourself with the people that believe in you and your idea! Techniques for looking normal Last week was a board meeting for my company, Brazen Careerist. I used to hate the board meetings because there is so much to prepare beforehand, and if everything is not going great, then you have to really face that. 1. Hide your feelings if they are going to be trouble for someone. I am still a major shareholder in my company, but I do not work at the company day to day. I would like to say that my neediness issues and fear of abandonment do not follow me to my workplace, but in fact, they are huge there. And I spend a lot of time worrying whether people listen to my opinions because they care or because its easier to listen than to try to get me to shut up. When the board meeting rolls around, I get nervous. I dont know if I should go or not. I like to go because I like knowing whats going on. Well, and of course, I like giving my opinion. I also like hanging out with the board. I really like Ryan Healy now that I dont have to work with him. And everyone on my board is someone who did a huge amount for me at one of the (many) very tough times in my life. (Like this time.) So I just really like everyone. So, while I am deciding if I should go to the meeting or not, Ed Barrientos, the CEO tells me that the company would pay for me to go. Ed is incredibly cheap when it comes to any company expense, so I take this to mean they really care about me being at the meeting. 2. Focus on clothing because its easier to control than personality. I wear my dark J Brand jeans and a purple shirt from Banana Republic. The clothes I choose are really important because I dont want people to think Ive lost my edge on the farm. I cant look too farm-y. I have worn jeans and a black top to every board meeting ever. Thats fine for men, because the only criteria men have for clothes is that you look hot. But now that there are women at the company, and I will have to stop in and say hi, and the women will think I dont know black is out. So it is out of my comfort zone, but I wear purple. I work really really hard at looking like I fit in. Which you have to do if its impossible to fit in. If you fit in, you can think about being a little bit special. I try just to not be special. 3. Act nonchalant about things like a private jet. Making any scene is bad. The board member who has a plane, Erik, has had, for a very long time, the job of keeping me in line. When I had a screaming fit at the attorneys office about the investors lowering my salary, they brought Erik in to talk to me. And he never stopped. I love his patience for me, but I also love his plane. Did you know that companies do not put their logos on their corporate jets because its bad PR? So I fly in and out of airports that look like all the planes are full of CIA operatives. 4. Acknowledge that you make people uncomfortable. On the plane, Erik reminds me that I should try to behave well at the meeting. I tell him that I know he didnt like the time that I made paper airplanes to keep myself occupied. I tell him that to assure him that I know what bugs him. But the mention of paper airplanes seems only to remind him of bad things, so I assure him that I brought new pens to keep myself busy. Jelly Rolls, I say. Do your daughters use them? Theyre really fun. They sparkle. Or there are some that are dull. And the ink is like squishy liquid. Board members do not like hearing about Jelly Rolls. I did not know this is a rule, but I infer it from the look on his face. Just not immediately. I wish I had noticed sooner. 5. Suffer in silence. If you talk about pain, people will think youre a pain. Then my abscess tooth starts to hurt. It was already hurting that morning. So I put a few Vicodin in my purse, which I have from the dentist who said I might need some in the few days Im waiting for the oral surgeon. The thing is that was two years ago. Two years ago when I was supposed to get my tooth pulled. It is dead. Or whatever an abscess is. The dentist said Im very young to have a dead tooth. I cried. I didnt tell him that its not fair that Im losing teeth because for my whole bulimic life I was really careful to brush my teeth after every vomiting episode. I also didnt tell him I wasnt going to have the tooth removed. I mean, I will. Just not now. Its too upsetting. 6. No mind-altering drugs on short notice. Erik and I land and I thank the pilots. I have noticed that Erik, the King of Being Normal, is always gracious to everyone. And I am oblivious to everyone. So it stands to reason that for him to think Im normal, I need to be gracious. I thank the driver for being there to meet us and then I thank him for waiting for me to go to the bathroom. The tooth is hurting a lot, and I am worried Im going to pass out. It would actually be good to pass out with Erik. He would figure out what to do and hes a get-things-done kind of guy. But he would not like it. He wants to feel secure in the idea that Im stable and he wont have to rescue me again. So I think of popping a Vicodin, but what if it makes me loopy? Then maybe they wouldnt invite me back to a board meeting. Then theyd tell me to dial-in, and Im a notoriously bad listener on the phone, so theyd assume I was checked out, and then itd be like I wasnt there at all. So instead of a Vicodin, I take ten Advil. 7. Try to do what is expected in each situation. In the car, on the way to the meeting, Erik looks at his email, so I do that too because if you want someone to like you, you should mirror what they do. Then Erik stops to pick up lunch. He asks if I want lunch. Everyone at the company knows that I hate eating with a group. So he only asks because its the normal thing to do. He knows I will say no. But its good to be normal. I get it. So instead of saying, No, of course not, I say, No, thanks. He nods. I see the line for sandwiches is really long. So long that Id have thrown a fit and demanded to go somewhere else. But Erik is not a fit thrower. So I see that Im going to have some extra time. 8. Fend off all possible emergencies. I go to the bathroom to investigate the tooth situation. On the way to the bathroom, I pass a dentists office. That gives me confidence. Because something really bad would not be really bad too long because I could just slip right into that office and ask for some help. In the bathroom I take out my earring and use the pointy part of the earring to work on my tooth. The puss was more like popping a big yellow zit. It sprayed onto the mirror. I popped it a few more times, a few more sprays onto the mirror. Then I clean everything up. The mirror, my mouth (now theres blood dripping, which is how I know I got all the puss) and I redo my makeup, which takes a while, because I pretty much have to wash my face and start over. When I get to the car, Erik is there. Waiting. I say, Oh. Sorry. Were you waiting long? He says, Yeah. Did you take a tour of the building? 9. Explain yourself so people dont assume the worst. That is Eriks way of asking if I did something bad. He knows me well. He sees possibilities. He is worried I did something not appropriate. So I need to tell him something because it is not normal to walk around a strange building for twenty minutes. Which, it turns out, is how long Ive been gone. I want to let him know that I was doing something okay. So I tell him that I have an abscess tooth and I had to pop the puss part. It was interfering with my speech, I tell him. I try to convey that I was just worried about being normal for the board meeting. Which is true. He is not going for it. He thinks I take insane risks. Which, to be fair, is the only reason there was even a company for him to invest in: because I took insane risks. But whatever, risk takers always look exciting from far away but never up close. So I try to tell him that I definitely made a choice on the side of caution because I made sure there was a dentists office nearby and also, I did not take the Vicodin. He says I didnt need to tell him that. Im not sure what I needed to tell him. 10. Get a list of expected behaviors and then execute on that list. I am well behaved for the meeting. I do not tell everyone that I think I know more about Brazen Careerists traffic than everyone else even though I dont work there. People do not want to hear that from me. And someone with good social skills would say it differently. So I keep quiet while Ed talks. And I keep quiet when people talk about the weather and sports. Well, not really. I say no, please, dont do smalltalk. Its so awkward. And then they talk about it anyway. Which is a sign they think I am on good behavior. At dinner, everyone compliments me on my good behavior at the meeting. I paid attention, I had no outbursts, and I did not do anything completely inappropriate. I breathe a sigh of relief and then spend five minutes ordering because Im terrified of not having complete control over the contents of my plate. 11. Recognize the crazy people and dont follow their lead. Then the guys reminisce about farm times in their childhood and it turns out that they have been cow-tipping. That is not nice, I tell them. I tell them we would never do that on the farm, and that one of the signs of a child turning into a sociopath is treating animals poorly. They laugh.

Motivation Monday Choices Having choices is better than feeling like you dont have any options. What can you do to ensure you have options during your job search? Fish On! During your job search, you want the opportunity to chose the best possible job. Heres a little side story. I love to fish and when I was younger, there would be times I didnt put my line in the water because I was afraid of what I might catch. It was a big lake and there were big fish in there. Yes, every anglers dream is to land a jumbo fish, but I was still afraid. What if it was too big? What if it had huge teeth? My fears stopped me from putting my line in the water. I can hear my dads voice now you cant catch any fish if your line isnt in the water! So what does having your line in the water mean for a job seeker? It means you are doing all of these things: Applying for jobs when you meet more than 50% of the stated qualifications Posting your resume on job boards Entertaining opportunities presented by 3rd party recruiters Reaching out to recruiters Monitoring target company job boards Networking with everyone you know (and even those you dont) Volunteering If you arent doing ALL these things then you dont have your line in the water and you will certainly miss out on opportunities. Numbers Talk Stay focused on what you want to do, but be realistic about the quantity of potential opportunities that exist. If the type of job you want is held by only one person in a company and the tenure is usually 10 years, you need to diversify, expand, or relocate. This is a numbers game, plain and simple. You may be thinking, how do I know the answer to this? My response is, by talking to people in your industry. Create Chances for Choices Never turn down the opportunity to interview. You need to learn more about the job. Never assume that what has been posted in the job description is wholly accurate. Also, think long and hard before you remove yourself from the interview process. You never know what could happen if you stick it out. The company may create a job for you that you would really love. The interviewer may introduce you to someone they know outside their company for a better/more appropriate opportunity. The interviewer may know about a different job coming along in the future and may decide to bring you on board in advance so they dont lose you. However, if you drop out too early and they dont get to know you well enough, these options probably wont appear. Stick it out and get the gosh darn offer. Then decide what you want to do. Similarly, if you receive and accept an offer, do not cancel upcoming interviews. Take the interview at all costs because you never know what the job may be or what they may want.
